My client, a global consulting firm that advises clients on a variety of financial services matters, is currently seeking a professional, to provide business and administrative support to the company. A finance or accounting background would be advantageous. Knowledge or experience of working within a consultancy would also be favorable.

Principal Duties and Responsibilities:

Administrative Support

  • Calendar management.
  • Responding to all electronic and hard copy correspondence.
  • Travel arrangements.
  • Answer phones and direct all incoming calls to appropriate party promptly and efficiently.
  • Preparing documents, reports and presentations.
  • Preparing and submitting time and expenses, research, and maintain and update the firm's knowledge management database.
  • Coordinate with HR in regard to recruiting and on-boarding of new employees and contractors.
  • Coordinate engagement reviews for consultants.
  • Performs other duties as assigned.

Financial Support

  • Coordinate preparation of invoices and accompanying transmittal letters in connection with all active engagements in the office.
  • Work with project managers to document highlights of services performed in connection with each engagement.
  • Maintain records of amounts invoiced.
  • Forecast invoice amounts and resource utilization in connection with active projects.
  • Coordinate follow-up on past due invoice amounts.

Marketing and Business Development

  • Market and other research in coordination with Marketing team as appropriate.
  • Maintain CRM database, providing leadership, training and direction to office administrative and professional staff as necessary.
  • Manage and track project management databases for one or more teams.
  • Proposal and engagement letter preparation in accordance with Firm standards.
  • Assist professional staff in project resource planning.
  • Maintain and communicate project resource assumptions to project management.
  • Prepare PowerPoint presentations and other related documents.
  • Plan meetings and events.

Engagement Support

  • Coordinate on-site requirements prior to arrival at client site, including defining space requirements, gathering network connectivity requirements, arranging building access, and identifying any other day-to-day working requirements.
  • Work directly with Project Team Leader to translate scope of engagement into identification of key deliverables, key team roles and responsibilities and to anticipate client and staff needs throughout the life of engagement to ensure a successful end product.
  • Serving as liaison and point-of-contact with the Client to facilitate organizing the project and deploying resources to create, produce and implement project deliverables.
  • In addition, regular interaction with Client point-of-contact to discuss schedules, progress toward producing outstanding deliverables, coordinating team activities (e.g., meetings, etc.)
  • Set up and facilitate client meetings and conference calls.
  • Participate and generate meeting notes to be used as a reference during the project and included in work papers at the close of the engagement.
  • Draft project status reports and similar client deliverables for Client review and approval.
  • Review confidential client files performing due diligence reviews and generate outline detailing findings for inclusion in the final report and work papers.
  • Conduct research and synthesize information found as requested to meet project goals.
  • Through regular contact with Project Team Leader and team members, maintain current assessment of progress of work and obstacles or changes to work flow and/or demands. Provide analysis and recommendations to team members regarding any such obstacles or changes.
  • Works directly with professional staff to translate project scope into identification of key deliverables, team roles and responsibilities to anticipate internal staff needs.

Knowledge, Skills and Experience:

  • Strong oral and written communication skills.
  • Proficiency in Microsoft Word, Excel, PowerPoint.
  • Superior project documentation skills.
  • Highly organized and self-directed with the ability to work independently and as part of a team.
  • Ability to prioritize, multi-task, and complete projects on time and within budget.
  • Willingness to travel as needed.
  • Strong attention to detail.
  • Ability to adjust to changing priorities.
  • Experience with invoices and finance a bonus.
  • Experience of financial services / regulation / consultancy a bonus.
