King & Spalding is seeking an exceptional Legal Practice Assistant to join the Brussels office. This is a high-quality legal support role providing proactive administrative, organisational and practice support to partners, associates and wider practice groups in a fast-paced international law firm environment. The role requires consistently excellent standards, sound judgment, strong ownership and a highly polished approach to client service. Given the size and structure of the Brussels office, the successful candidate will also support practical office coordination, internal meetings, visitors and day-to-day office administration where required. The successful candidate will be organised, discreet, responsive and able to manage competing priorities while maintaining accuracy, confidentiality and professionalism at all times.
KEY RESPONSIBILITIES:
• Provide high-quality, proactive day-to-day administrative, organisational and practice support to partners, associates and other fee earners, anticipating requirements, tracking priorities and following up on outstanding actions.
• Act as a reliable and professional point of contact for lawyers, clients, colleagues, business services teams and contacts in other offices.
• Manage workload effectively, prioritise competing demands, uphold high professional standards within the team and escalate capacity issues or conflicting deadlines appropriately.
• Manage complex diaries, inboxes, meetings, calls, deadlines, travel arrangements and reminders, ensuring lawyers have the relevant materials and preparation time required for meetings and deadlines.
• Coordinate internal and external meetings across multiple time zones, including agendas, papers, room bookings, attendance, catering, technology requirements, dial-in details and follow-up actions.
• Provide hands-on support for internal meetings, visitors and small office events in Brussels, including room set-up, catering, local logistics and on-the-day coordination where required.
• Prepare, format, proofread and amend legal documents, correspondence, presentations, reports, meeting materials and other documents using firm templates, Litera and house style to ensure work is accurate, consistent and professionally presented.
• Support legal document and matter-related tasks, including mark-ups, red-lining, tracked changes, comparisons, PDF conversion, bundling, indexing, scanning, printing, copying, electronic filing and archiving.
• Assist with opening, maintaining and closing client and matter files in accordance with firm procedures, including conflict checks, engagement letters, client onboarding and accurate matter maintenance where relevant.
• Maintain electronic and physical files, ensuring correspondence, documents and matter materials are filed, stored and retrieved accurately and promptly using firm systems.
• Support billing processes, including time-entry reminders, corrections, draft bills, WIP reports, invoice preparation, billing narratives and liaison with finance teams as required.
• Process expenses, invoices and other finance-related administrative tasks accurately and on time, ensuring relevant deadlines and processes are met.
• Assist with local office ordering, stock control, supplier invoices and coordination with finance or operations teams where required.
• Liaise professionally with clients, counsel, courts, external advisors, vendors and internal stakeholders, handling calls, emails and queries in a timely, polished and client-focused manner.
• Build effective working relationships with lawyers, clients, assistants, business services teams and colleagues in other offices, ensuring seamless support across time zones where required.
• Support business development activities, including pitches, client presentations, directory submissions, client events, seminars and practice group initiatives.
• Support the smooth day-to-day operation of the Brussels office by liaising with relevant business services teams, suppliers, building management, IT and office services in relation to practical office administration matters.
• Help ensure meeting rooms, visitor spaces and shared office areas are professional, tidy, well prepared and appropriately stocked, and assist with arrangements for visiting K&S personnel.
• Act as a local point of coordination for basic office technology, facilities, couriers, catering, stationery, maintenance queries and other practical office requirements, escalating to the appropriate business services team as needed.
• Maintain the highest standards of discretion, integrity and honesty when handling confidential client, matter, personnel or business information.
• Follow firm policies and procedures relating to confidentiality, data protection, information security, file management, billing and client service.
• Demonstrate consistent professional behaviour aligned with operating in a regulated international law firm environment, upholding high levels of integrity, confidentiality and compliance in all activities.
• Perform other related administrative tasks as required and assigned.
PERSON SPECIFICATION:
We are seeking a professional, proactive and highly capable Legal Practice Assistant with strong organisational skills and the ability to provide exceptional support in a demanding, fast-paced international law firm environment. The successful candidate will be calm under pressure, client-focused, discreet and reliable, with the confidence to support senior stakeholders, take ownership of work, act with complete integrity and contribute positively to a high-performing team.
EXPERIENCE:
• Previous experience as a Legal Practice Assistant, Legal Secretary, Legal Assistant, Management Assistant, Executive Assistant or similar role is essential.
• Experience within a law firm or professional services environment is strongly preferred.
• Experience supporting partners, senior lawyers or busy legal teams would be advantageous.
• Experience with billing, matter opening, client onboarding, document management, diary management and business development support would be beneficial.
• Experience in office administration, facilities coordination, supplier liaison, visitor arrangements, local office events or similar practical office support would be desirable.

LANGUAGES:
• Excellent written and spoken English is required.
• Excellent written and spoken French is required.
• Dutch language skills would be useful.
• Comfortable working in a multilingual and international environment.
TECHNICAL SKILLS:
• Strong Microsoft Office skills, particularly Word, Outlook, Excel and PowerPoint.
• Comfortable using document management, billing, time recording, practice management, expenses, workflow and client relationship systems.
• Experience using Litera and applying firm house styles is desirable.
